The administrator has a critical role in the courts and needs access to the tools to improve the reliability and effectiveness of interpreter management. The interpreter’s role is to remove the language barrier thereby be placed them in the same position linguistically as an English-speaking person in the court proceedings. The role of the administrator is to schedule the interpreter and to provide them the information on date, time, location, directions and identifying detail on the case (eg Case ID). The administrator to understand the process from the scheduling interpreters all the way through to the payment of the interpreter.
We know that some courts should have a two hour default duration, whereas others may be 4 hours. Interpreter credential management
Courts have set requirements for the qualifications of the interpreters. Their qualifications, certifications and approvals need to be readily accessible when booking the interpreter. Interpreter IO allows for filtering of interpreters based on credentials. Interpreter IO credentials include demographic information such as name, country of origin, gender and more. Additionally, you can add credential types and upload supporting documentation. This may include security checks, police checks and more.
You can have an unlimited number of interpreters in the system. Each interpreter has their own credentials. The system provides the single source of documentation supporting the credentials and includes the ability to put expiry dates on credentials.
If switching from Excel or another system, we have the ability to import your interpreters into the system.
Booking system for interpreters
The booking system is the easiest to use, most flexible booking system on the market. You can use the pre-built booking templates for courts, or you can easily change these booking forms. For example, if the District Court has different requirement to the Magistrate Court, you can have a different booking form for each category. You can even go down to the individual court level for specific booking forms. The set up is simple and court systems can be up and running in very short period of time. As part of the set up, courts determine if they will have central approval (interpreter coordinator role) for requests. Courts can have central administration and management or can operate as separate organizations.
The interpreter booking capability includes pre-defined court locations, as well as the use of ad-hoc locations where a hearing may be held outside one of the pre-established court locations.
A requestor can see the status of their booking requests.
The booking system manages the complete booking lifecycle. The credentials are used invite interpreters (in house or contractors) or interpreting agencies to the booking. Based on the response, there is a choice on whether to automatically assign based on responses or select the preferred interpreter. When the assignment is complete, the actual duration can be entered with other relevant comments. Documentary evidence can also be uploaded. All data is easily viewed through a data dashboard, data based reports that are exportable to Excel, and graphical charts showing key data.
Communications
Booking requests and confirmations can be communicated to interpreters (and agencies) using three channels:
- On line on the cloud portal. This can be accessed via desktop, laptop, tablet or smart phone
- Emails
- Text messages
Interpreter Delivery
Onsite bookings are delivered by interpreters who go to the courts. Phone and Video interpreting delivery is available through the Interpreter.IO system. Many courts have their own video systems. Instructions are easily incorporated to messages sent to the interpreter to use the internal system.
Data Management
Data can be imported into the system. Data can be exported to Excel. In addition to these features, there are advance search and queries.
Reporting
Core data reports are available for booking detail and billing. Dynamic graphical charts provide executive reporting at your fingertips.
Invoicing
Provides the ability for different rates by interpreter (or interpreter class).
